Flat Price vs Per-Client Pricing: What Coaching Software Costs at 10, 25 and 50 Clients
A dated look at what published plans charge as your roster grows, where free tiers are cheaper, and why a flat price changes the maths once you pass about ten clients.
Most coaching software prices rise as you add clients. That is fine at five clients and expensive at fifty. Below is what the published plans charged when we last checked, so you can compare at the roster size you actually have. Prices change, so treat this as a snapshot and check each vendor's site before you decide.
All figures are monthly prices in US dollars, read from each vendor's public pricing page on 4 October 2026. Features differ between plans, and some branded-app or nutrition features sit in higher tiers. The full dated table is on our pricing comparison page.
The snapshot
- Hevy Coach: $25 for 1 to 10 clients, $50 for 11 to 25, $90 for 26 to 50.
- CoachRx: $79 for 6 to 50 clients.
- PT Distinction: $59.90 at 25 clients with branding.
- Everfit: $75 at 25 clients.
- Kahunas: $35 at 25 clients and $69 at 50.
- TrainHeroic: $44.99 at 25 clients and $74.99 at 50.
- Trainzilla Coach Pro: $19 for unlimited clients, with the branded client app, nutrition and payments included.
Where the flat price wins, and where it doesn't
At 25 and 50 clients, $19 flat is the lowest published price on our table. That is the claim we stand behind, with the table as proof.
At five clients or fewer it is a different story. Some tools have free tiers or very low entry plans: Everfit is free up to five clients, Trainerize is free at one, TrainHeroic starts at $9.99 and FitBudd at $15 for two clients. If you are just starting, a free tier is a reasonable choice. The flat price matters once your roster is growing, because the bill stops growing with it.
The hidden costs to add up
- Branding or app setup fees. For example, some vendors charge a one-time setup fee to brand an app; check the table for the figures we recorded.
- Nutrition or payments sold as add-ons or higher tiers.
- Transaction fees on client payments. Trainzilla takes no commission and passes client payments to you; payment-gateway fees may apply on card checkout.
A quick way to compare
- Write down how many active clients you expect in 12 months, not today.
- List the features you need: branding, nutrition, payments, check-ins.
- For each vendor, find the lowest plan that includes all of them at that client count.
- Multiply by 12 and compare.
