What coaching software actually costs — and when it starts paying for itself

Most coaches ask the wrong question about software.
The question isn't "what does it cost?" It's "what am I already paying, and where is it going?" Because the coach running everything through a spreadsheet, WhatsApp and a payment link isn't paying ₹0. They're paying in Sunday evenings.
So let's do the actual arithmetic.
What you're already spending
Take a coach with 12 clients. A normal week involves:
- Reading and replying to check-ins
- Rewriting next week's plans off the back of them
- Making PDFs and sending them
- Chasing two or three payments
- Answering "what was my weight last month?" from memory or scrollback
Ask a coach how long that takes and you'll usually hear "a few hours." Watch them do it and it's closer to five or six — most of it not coaching, but shuttling information between apps that don't talk to each other.
If your time is worth ₹500 an hour, that's ₹10,000 a month in admin. If it's worth ₹1,000 an hour, double it. That's the number any software has to beat — not zero.

- At ₹3,500 per client — about 14%. One client covers it seven times over.
- At ₹5,000 per client — under 10%. One client covers it ten times over.
For a gym on the ₹1,499 plan with five coaches, that's roughly ₹300 per coach per month.
Put differently: if the software helps you keep one client from quietly drifting away in a year, it has paid for itself several times.
The cost that doesn't show up on an invoice
A coach without a platform usually runs some version of this: a spreadsheet for plans, a separate habit app, something to make PDFs, a payment link, and a WhatsApp thread doing the work of a CRM. Individually most of those are free or cheap. Together they cost you in two ways that never appear on a bill.
Nothing is connected. The check-in lives in WhatsApp, the plan lives in Sheets, the payment lives somewhere else. Every decision means assembling the picture by hand.
Nothing is remembered. Six weeks later, when a client asks why you changed their programme, the answer is in your head or nowhere.
The break-even is one client — not even all of one

Honest answer: if you have one client and you're still working out whether you enjoy coaching online, use your 30 free days to find out before you pay. Unlimited clients and multiple paid offers solve problems you don't have yet. Paying ₹499 to feel professional is not a good trade.
The moment to move is specific, and most coaches recognise it: you have paying clients, and the admin is starting to eat the coaching. When you're spending more of Sunday on spreadsheets than on programme decisions, the ₹499 stops being a cost and becomes the cheapest hour you buy back all month.
Setup shouldn't cost you a weekend either
For a lot of coaches the hard part was never the ₹499. It was finding a free weekend to move everything over. That part is built in now, at no extra cost.
