How to Split Revenue with Gym Trainers: Per-Coach Statements and Per-Location Reporting
Gym trainer revenue share without the spreadsheet: members pay the gym directly, and per-coach statements, per-location revenue and attendance tracking make every coach's share easy to settle.

The simplest way to run a gym trainer revenue share is to collect every member payment in one place, record who sold each plan and who coaches the member now, and settle each coach's share from a statement instead of a spreadsheet. In Trainzilla, members pay the gym directly by UPI (or at the desk), and the gym earnings statement shows revenue per coach and per location, ready to export.
Why does revenue share get messy so quickly?
- Month-end spreadsheets that someone has to reconcile by hand.
- Disagreements about which coach sold or trained which client.
- Cash, UPI and online payments recorded in different places.
- No clear view of which location or coach is actually profitable.
- Attendance tracked on paper or in a chat group.
How do member payments reach the gym?
- A member picks a membership plan on your gym page or from a coach's plan link.
- They pay the gym owner's UPI ID directly from GPay, PhonePe or Paytm and tap "I've paid". Members who pay in cash or by card at the desk are recorded with a desk payment.
- The owner or an admin confirms the payment, the membership starts, and the member gets an invoice. Trainzilla never holds the money and takes no commission.

How do you work out each coach's share?
The gym earnings statement lists every payment in a date range with who sold the plan, who coaches the member now and which location they belong to, plus a per-coach total. When a member moves to another coach, the sale stays with the coach who sold it, so both names appear side by side and nobody's numbers silently change. Apply your agreed split to the per-coach totals, pay your coaches, and download the CSV for your records.
How do you see which location and which coach is profitable?
Per-location and per-coach revenue shows where money is actually coming from, so you are not merging one sheet per branch to find out. That is the difference between guessing which trainer to promote and knowing. For the wider buyer's view of running several sites, read our multi-location gym management software guide.
Can you track coach attendance too?
Yes. Coach attendance tracking shows which coaches showed up, per shift. It removes a common source of revenue-share disputes and lets a manager spot coverage gaps before members notice.
| Task | Spreadsheet approach | With Trainzilla |
|---|---|---|
| Collecting payments | Cash book, UPI screenshots and a separate gateway | Members pay your UPI directly; desk payments recorded in the same list |
| Coach shares | Calculated by hand each month | Per-coach statement with sold-by and now-coached-by, CSV export |
| Revenue by location | Merge one sheet per branch | Location on every payment row |
| Coach attendance | Paper or chat messages | Attendance tracked per shift |
| Onboarding existing members | Retype every member | Import members, leads and past sales from CSV, Excel or Google Sheets |
Running revenue share on spreadsheets versus Trainzilla
How do you move an existing member base over?
Use the import. Upload a CSV or Excel file (or link a Google Sheet) of members, leads and past sales instead of entering hundreds of people by hand, then reassign members to coaches as your roster changes. Steps are in the client management help guide.
Which plan fits a gym or franchise?
Gym plans are seat-based, with Gym Starter, Gym Pro and Enterprise tiers. Compare them on the pricing page and see the Trainzilla for gyms page for how the pieces fit together.
Frequently asked questions
What is a gym trainer revenue share?
It is an arrangement where the gym and the coach each keep an agreed percentage of what a client pays, instead of the coach being salaried or paying flat rent.
Does Trainzilla pay my coaches for me?
No. Members pay the gym directly, so the money is already with you. Trainzilla gives you the per-coach statement that shows what each coach sold, so settling their share takes minutes.
Can I run more than one location from a single account?
Yes. Trainzilla is built for multi-location and franchise setups, with reporting per location and per coach.
Which payment methods can members use?
UPI straight to the gym owner, cash, card or bank transfer recorded at the desk, and card checkout online if you haven't added a UPI ID yet.
